At Visit Alberta, we understand that travel plans can change unexpectedly. Our cancellation policy is designed to be fair and transparent, while also considering the commitments we make to our suppliers on your behalf. By booking a tour with us, you acknowledge and agree to the following cancellation terms.

1. Cancellation by the Client.

Notice of Cancellation:

All cancellations must be submitted in writing via email to our reservations team. The cancellation will take effect from the date we receive your written notice.

 

Cancellation Charges:

The following charges apply depending on the time before the departure date:

Note: Some packages (seasonal or high-demand tours) may carry stricter cancellation terms, which will be communicated at the time of booking.

2. Non-Refundable Items.

The following components are non-refundable, regardless of when the cancellation occurs:

  • Flights and airline taxes (if booked by us).

  • Travel insurance premiums.

  • Visa and document processing fees.

  • Tickets for special attractions or events already purchased.

  • Third-party promotional or flash deals.

3. Cancellation Due to Unforeseen Circumstances.

In the event of a force majeure (e.g., natural disasters, political instability, pandemics, or government restrictions), we will strive to reschedule your booking or issue a travel credit where possible. However, refunds in such cases will be subject to supplier policies and are not guaranteed.

4. Cancellation by Us.

We reserve the right to cancel any tour in circumstances where operational conditions require it (e.g., insufficient bookings, supplier failure, safety concerns). In such cases, you will be offered:

  • A full refund of all payments made to us OR

  • The option to reschedule to a future date OR

  • A comparable alternative package, if available

Visit Alberta is not responsible for any other expenses you may have incurred, including but not limited to flight cancellations, insurance, or visa fees.

5. Travel Insurance Recommendation.

We strongly recommend that all travelers purchase comprehensive travel insurance that covers trip cancellation, medical emergencies, and travel interruptions. This offers financial protection and peace of mind should you need to cancel or modify your plans.

6. Refund Process.

Approved refunds will be processed within 21 business days of the cancellation request. Refunds will be issued using the original payment method, minus any applicable transaction or cancellation fees.

7. Modifications and Changes.

If you wish to make changes to your booking (e.g., travel dates, tour type, or participant names), please notify us as soon as possible. Modification fees may apply and are subject to availability and supplier terms.
